In-cell dropdown and data validation now in Google Spreadsheets

We’ve introduced in-cell dropdown and validation to spreadsheets. This makes it easy to constrain the values of an individual cell to a specific range or list.

Editions included:

How to access what's new: 
1. Enter data into a range of cells. For example, create a list of destinations on your spreadsheet.
2. Select the cell(s) you would like to validate.
3. Under the Tools menu, select Data validation...
4. Change the Criteria to ‘Items from a list.’
5. Click the button next to the ‘Create list from range’ option and select the range of cells you entered data in during Step 1.
6. Click Save and the cell you chose to validate will have a dropdown arrow in it with the data in your cell range as the potential input values. If you want, you can set a cell to allow invalid data.

Incremental reveal now in Google Presentations

Incremental reveal has now been added to Google presentations to gradually reveal a selected object on your slide.

How to access what's new: 
- When editing your slide, select an object that you want to control and right click on that object. In the drop down menu, select incremental reveal. You’ll then see a stopwatch icon on the object.
- When you add incremental reveal to more than one object on the slide, the stopwatch icon changes to display a number, representing the order in which that object will appear on the slide. To change the order of appearance for objects, right-click on the stopwatch. A drop down will appear with a list of numbers. Select the number for the order you’d like that object to appear.

Horizontal navigation, global footer and more in Google Sites

The following new features have been added to Google Sites:
- You can now add horizontal navigation to your site’s layout in one of three different options: boxes, tabs, and links.
- You can now set your site to have a global footer that displays across all pages on the site.
- We’ve added quick links to Google Docs embedded to Google Sites making it easier for collaborators to open embedded documents.
- We also added a “Deleted items” section to site management making it easier to get to deleted pages and attachments.

Deleted items: You can access this new option at More actions > Manage site > Deleted items. In this new section, you can choose to recover deleted items or permanently delete them manually. Deleted items can be recovered up to 30 days after they have been deleted, after which they will be permanently removed.

Check spelling in Google Spreadsheets

You can now check your spelling in spreadsheets. The tool will go through all the cells on your sheet, highlighting each cell which has a misspelled word in red. Words that might be misspelled in each cell are underlined in red and can be changed by clicking on them and selecting the right spelling.

Auto-linking, preferences and more page sizes now in Google Docs

Auto-linking: Now when you type something that documents recognizes as a link, it will become a link automatically. If you don’t want your text to be a link, you can undo the auto-linking by pressing Ctrl Z (Cmd Z on a Mac).

Preferences: If you don’t want automatic link detection, you can disable it completely by opening the ‘Preferences’ dialog from the ‘Tools’ menu. You can also permanently disable curly quotes (smart-quotes) in this dialog.

Page sizes: More page sizes have been added to documents. Find the new options in ‘File’, then ‘Page Setup’ when editing a document.

New curve tool in Google Drawings

A new curves tool has been released in Drawings. The new curves can be left open or closed, and can be filled or unfilled. You can also adjust points on the curve after drawing it.

Convert files in the documents list to a Google Docs format

You can now convert files already uploaded to your documents list into a Google Docs format. Previously, this option was only available on upload. This includes converting image and PDF files to text using our recently added Optical Character Recognition (OCR) technology.

The full list of files that can be converted include:
For spreadsheets: .xls, .xlsx, .ods, .csv, .tsv, .txt, .tsb
For documents: .doc, .docx, .html, plain text (.txt), .rtf
For presentations: .ppt, .pps
For OCR: .jpg, .gif, .png, .pd

Newer version for Google Apps Directory Sync tool available

We recently released version 1.6.18 of Google Apps Directory Sync which includes support for multiple organizational units in Google Apps. This lets you specify how you want to synchronize organizational structures in the General Settings page in Configuration Manager. You can then set up organization synchronization rules and organization mapping in the new Org Unit section of Configuration Manager.

Email migration now even easier with new version of Google Apps Migration for Microsoft® Exchange

IMAP support – Administrators can use the tool’s new IMAP capabilities to migrate email from systems like Novell Groupwise to Google Apps, or even migrate data between Google Apps accounts.

PST support – Administrators can migrate PST files on behalf of users in their domain once they have aggregated users' data files in one location. 

Better support for hosted Exchange – Administrators can now migrate data from hosted Exchange by running the migration tool on local servers, without requiring the Exchange hosting partner to run any special software on their end.

Google Docs now supports automatic translation into 53 different languages. It is also now possible to change smartquotes into standard straight quotes.

Apply template themes to existing sites in Google Sites

iGoogle now replacing the Start Page

The Start Page is being automatically be converted to iGoogle. The Start Page gadgets your users have configured will be migrated to iGoogle pages, after which users can modify their iGoogle gadgets, tabs and themes. Your Start Page web address will automatically redirect your users to iGoogle.

Some of our favorites here at KWS are:

  •  Signature Tweaks - Places your signature before the quoted text in a reply, and removes the "--" line that appears before signatures.
  • Canned Responses - Email for the truly lazy. Save and then send your common messages using a button next to the compose form. Also automatically send emails using filters.
  • Default Texting Style - Would you prefer Times New Roman to Arial, or perhaps large text to small text, in the e-mails you send out? Enable this lab, head over to the 'General' tab on the 'Settings' page, and change the default text styling to better suit your preferences.
  •  Undo Send - Oops, hit "Send" too soon? Stop messages from being sent for a few seconds after hitting the send button.
  •  Send & Archive - Adds a button to the compose form that lets you send a reply message and archive the email conversation in a single action.

To access all of the available labs, from your email browser window, click settings (upper right corner), and then click the labs tab. From there you can “enable” any of the labs you want to try out. Don’t forget to click “save changes” when you are done. Turning them off is as easy as selecting disable from the same menu.

User policy management now in Google Apps Control Panel

Google Apps administrators can now segment their users into different organizations and control which Google services are enabled/disabled for each of those different sets of users.

- Allows creation of organizations in a tree-like hierarchy
- Manage membership of users into one organization
- Specify policies for which services are on/off by organization

Updates have also been made to the Google Apps Directory Sync Tool and the Provisioning API to take this new functionality into account.

How to access what's new:
The Control Panel tab ‘Users and groups’ now becomes ‘Organization & users’. Click on this new tab to create a new organization.

To create organizational units:
1. In the organizational tree, highlight the organizational unit to which you want to add a child.
2. Click the ‘Add suborganization’ button..
3. Enter a name and description for the new organization.
4. Click the ‘Add organization’ button.
5. The new organizational unit appears as a child of the organizational unit you selected at step 1.

To enable/disable services for specific users:
1. Services that are disabled on the main dashboard will be disabled for all users.
2. Click the ‘Organizations & users’ tab.
3. Select the appropriate organization.
4. Click the ‘Services’ sub-tab.
5. Click ‘On/Off’ to change service settings or if it's a sub-organization, click 'Override this setting' or 'Use inherited' links to change settings.

- This feature is only available to domains using the ‘Next Generation’ version of the control panel. To enable this version in the control panel, click ‘Domain settings’, then ‘General’ and ensure the checkbox ‘Next generation (US English only)’ is enabled.
- This feature is being rolled out gradually.
- A user can exist in only a single node in the hierarchy tree.

New version of Google Apps Sync for Microsoft Outlook® released

Version 1.9 of Google Apps Sync for Microsoft Outlook® has been released with the following new features:

- If Outlook® crashes or doesn't shut down properly during a sync, the utility starts the sync again from a point preceding the crash or improper shutdown. This new method ensures that you won't be missing any messages.
- New resync options are available in the Synchronization Status dialog box:
Overwrite: Overwrites your local profile with data from the cloud, updating just the data type you selected (mail, contacts, or calendars).
Delete and resync: Deletes data from your Outlook profile, then re-syncs with the cloud to repopulate your profile with data from Google.
- More additional fields are supported in the Dynamic Global Address List.
- A new dialog box has been implemented that lets you set the size of your local mailbox and offers some insight into which setting to use.

More admin controls for mobile device management in Google Apps

Google Apps administrators now have more options to manage mobile devices in the control panel:

- Requiring devices to use data encryption
- Auto-wiping device after specified number of failed password attempts
- Disabling the phone’s camera
- Ensuring old passwords are not reused
- Requiring passwords to be changed after specified time interval
- Disabling data synchronization when device is roaming to reduce wireless overage charges

New version of Google Apps Migration for Lotus Notes tool available for download

Version 2.2.1 of the Google Apps Migration for Lotus Notes tool is now available for download with the following new features:

Pre-migration Estimator: It is now possible to gather user statistics prior to migration for selected users. This feature is designed to help customers plan the migration process for each site as they can now see precisely how many emails, calendar entries and contacts/groups will be migrated for each user. These values are aggregated up to show totals by user status, by site and across the entire organisation. The system also calculates the amount of data that will be migrated for each user and totals up accordingly.

Error Threshold Setting: In earlier versions of this tool, if any migration errors were encountered the system would keep the user at Active status until the error was resolved, manually flagged as complete, or the administrator moved the user to "Complete" status. It now allows the administrator to set a site level threshold for errors. If the total number of migration errors in a single user's mail file is below this threshold, the system will allow the user to move to "Complete". Where notifications are enabled, the user will receive a completion notice which will include details of any errors so that they can deal with these as required.
